Eventpartners (Orange Drive B.V.) respects the privacy of all users of our services, website (https://eventpartners.nl), and the Eventpartners app. In accordance with the General Data Protection Regulation (AVG), we process personal data carefully and transparently. This privacy statement explains what data we collect, why we do so, and how we protect it.

  1. What data do we process?

We process personal data to facilitate event registration and communication with participants. This includes: 

  • Contact details such as e-mail address and phone number 
  • Identification data such as name, first name, titles, and company name 
  • Address and organisational information 
  • Data relating to event participation, such as dietary requirements and participation in sessions 

In addition, our client may provide us with a list of invitees, which we manage for invitations and further communication.

Data is collected only for legitimate purposes, including: 

  • Registration and communication around events, conferences, and trade fairs 
  • Providing e-tickets and badges at events 
  • Facilitating networking contacts between exhibitors and visitors 
  1. Third parties with whom data is shared

To provide our services, we work with carefully selected third parties (sub-processors) that meet high security standards. To provide our app, we use Apple (iOS) and Google (Android) platforms, where their own privacy terms and data processing practices apply. 

  • Apple (iOS) and Google (Android): When you download our app from the Apple App Store or Google Play Store, the privacy terms of these platforms apply. They may process device and usage data for their own purposes. 
  • Google Analytics: For statistical analysis of website and app usage. Data is anonymised to the extent possible and stored on servers in the United States. 
  • ActiveCampaign: To manage personal data entered through forms on our website and app. Data is stored in the US. 
  • Google Calendar: For managing appointments via our website or app, where appointment details are automatically added in our Google Calendar and stored on US servers. 
  • Mailchimp and SparkPost EU: For sending emails. SparkPost EU ensures data stays within the EU, while Mailchimp manages data outside the EU under the EU-US Privacy Shield. 
  • TRUE: Hosting in the Netherlands (ISO-certified). 
  • Adyen: Processing payment details after registration. 
  • MessageBird: Sends SMS messages and is based in the Netherlands.

Our website uses cookies to optimise the user experience and improve our services. A cookie is a small text file that is stored on your computer, tablet or smartphone the first time you visit the website. We use functional cookies, analytical cookies (e.g. via Google Analytics), and marketing cookies. 

  • Functional cookies: These are necessary for the technical operation of the website and to make it easier for you to navigate. 
  • Analytical cookies: These collect data on the use of our website so that we can optimise the ease of use. 
  • Marketing cookies: These are used to track users and show personalised content.

We have taken various technical and organisational measures to ensure the security of your data, such as: 

  • Privacy by Design and Privacy by Default: Our web applications are developed with privacy as a core principle and comply with OWASP Top 10 security guidelines. 
  • Encryption and firewall: All our websites are secured with 256-bit SSL and MS Bitlocker is used on computers. 
  • Monitoring and supervision: Logs are checked regularly, and backups are made daily. 
  • Data Protection: Employees work as much as possible with web-based software without local storage of personal data. 
  1. Retention periods and deletion

At Eventpartners, personal data are not kept longer than necessary for the purpose for which they were collected. After termination of the agreement with a client, personal data are deleted or returned within three months, unless legal obligations require a longer retention period. 

  1. Rights of data subjects

Users have certain rights under the AVG regarding their personal data: 

  • Inspection: You can request to see your data. 
  • Correction and removal: You can request correction or deletion of your data. 
  • Restriction of processing and objection: You have the right to restrict processing or object to certain processing. 
  • Data portability: You can request data transfer to another party.

In the event of a security incident or data breach, we follow a data breach protocol. Reports go through the Eventpartners management. If there is a risk for those involved, we inform the client immediately.
